ACIS Policy and Procedure
Welcome to Aviation City International School (ACIS) Abuja, a distinguished center of educational excellence both nationally

Open Door Policy
The Aviation City International School has an Open Door Policy for parents whose children attend the school. An Open Door
Policy is defined as a parent’s ability to come to the school during school hours at any time to check on the well-being of that parent’s
child through the Principal’s office. Please be cognizant of any disruption that you may cause to your child’s school day.
Communication
At Aviation City International School, we recognize the importance of communication. The teachers, administration, and the Board are
available by appointment to address issues, concerns, or anything that you need. Your child’s classroom teacher will devise a method
of best communicating with you (email, WhatsApp, notebook, or phone call). Communication is a two-way street, please let your child’s
classroom teacher know of situations at home that may be causing special circumstances in the child’s performance (lack of sleep,
parents out-of-town, change in routine, Medication Changes, etc.). If you have an issue with your child’s classroom teacher,
it is essential that you first communicate directly with that teacher. Please schedule an appointment outside the class time.
It is not an appropriate time to discuss issues with teachers during the academic time (7:30am to 2:30pm)
Advisory
Advisory Committee works directly with the learners. Learners whose grades are ‘C’ - or above in all classes will participate
in enrichment activities while learners who receive a ‘D’ grade or lower in any class will be required to join the Support
Class. In addition to enrichment activities and support for improving grades, students receive information about the
school and upcoming events.
Attendance
To ensure that students are successful in their classes, all Aviation City International School learners are required to
attend all of their scheduled classes on every scheduled school day. Aviation City International School places a high.
priority on the classroom experience; hence class time is the most important reason why a learner is required to attend school.
If a learner misses class, the learning cannot adequately be “made up” by sending home an alternate assignment. It is the
responsibility of the student to make a prompt and earnest effort to make up learning missed because of absence from class.
Shared Responsibility for Good Attendance:
The learner will:
- 1. Monitor learners’ attendance
- 2. Seek appropriate written application to request for
your child’s absence from the school through the Principal. This must be done at least a week before the due time.
- 3. Encourage and support the learner in maintaining excellent attendance.
- 4. As much as possible, schedule medical appointments, visa interview,
vacations and other events that require learners to miss school outside of school time.
- 5. Respond in a timely and constructive manner to communication from the school about a learner’s attendance.
Teachers and school personnel will:
- i. Take attendance accurately for each class.
- ii. Notify a parent when a learner is absent from school through the admin office.
- iii. Provide support to a learner in maintaining excellent attendance, and recognize those learners with exemplary attendance.
- iv. Notify a parent of concerns about a learner’s attendance
- v. As far as reasonably possible, provide work in
advance for approved extended absence. Hold learners responsible for missed learning due to absence.
Check in to School
If a learner arrives in school after 8:00 am, or after school has started, he/she must report to the
reception and sign in to school. The office staff will record the student’s late arrival in the attendance system.
Check Out of School
- i. A student needing to leave school before the end of the day must check out at the reception.
- ii. Whenever possible, the student will provide the reception staff with a note explaining the reason.
- iii. Whenever possible, the student will show the parental note explaining the need to leave school
to the teachers of the classes that will be missed.
- iv. If a student leaves school without following the above procedures for check out, an incident of
unauthorized absence will be recorded in each class for which the student was absent for any time.
Phone/Electronics
At Aviation City International School, we discourage the use of personal cell phones and electronics within the school.
If a learner is observed using a personal electronic during school hours, the electronic will be confiscated and the parent
of such child may be invited to the school for further discussions.
Assemblies
It is compulsory for all learners of Aviation City International School to attend the Monday General Assemblies and the
Gender Assemblies. The Gender Assemblies will be conducted with the male and female students separately.
Contraband
No contraband will be permitted in school. The following are some list of contraband:
- i. Cash (can be part of bill as students’’ impress for tuck shop)
- ii. All electronics devices including phones
- iii. Any weapons or fire arms
- iv. Sun glasses, long earrings and make-up, expensive jewelleries
- v. Alcohol
- vi. Cigarettes, lighters or matches
- vii. Drugs and drug paraphernalia
- viii. Firecrackers, smoke bombs, or any flammable materials
- ix. Firearms
- x. Gang related items
- xi. Glass bottles and all open containers
- xii. Pocket knives, tools, or other sharp objects
- xiii. Pornographic materials or devices of a sexual nature
- xiv. Any illegal items
Harassment/Bullying
Aviation City International School is committed to providing a safe learning environment for every learner.
Harassment and bullying will not be tolerated. Learners may be suspended, expelled, referred for police
investigation, and/or prosecuted for engaging in any physical or verbal aggression, intimidation, initiation,
or discrimination of any school employee or student at school or school-related activity regardless of location
or circumstance, including but not limited to bullying, hazing, or sexual, racial, ethnic, religious, or
disability-related harassment. Aviation City International School is both committed to preventing harassment
and bullying as well as providing preventative and remedial social skills instruction to prevent the
occurrence of harassment and bullying in the school.
Lost and Found
Found items should be turned in to the Quality Assurance Office. Lost items must be reported immediately.
Owners must identify lost articles before they are returned. Lost articles not picked up at the end of
each term will be given to charity to the orphans.
Messages & Deliveries to Students
During class time, no messages or deliveries to learners will be made. Instead, between classes or at lunch time,
announcements of messages and deliveries will be made, inviting the student to come to the office for the message/delivery.
Theft
Students should report thefts to the reception office immediately. The school is not responsible for losses due to thefts.
Students are advised to leave valuables at home.
Visitors
Student visitors are not permitted during school hours unless they are part of an official student delegation from another school.
Medication
Aviation City International School is a Drug Free School and as such no learner is allowed to carry any drug on their person
without written authorization from a healthcare professional. Anyone found to be in possession of a drug without proper
approval will be brought to the office and dealt with accordingly. We expect all parents to provide details of their
children/ward’s medical health profile to the clinic, this should include:
- i. Past medical records and history of any chronic condition like Asthma, Sickle Cell disease, Diabetes Mellitus etc.
- ii. Drug allergies like Fansidar, Septrin etc.
- iii. Food allergies
- iv. A child on regular medical follow-up should deposit their appointment card in the clinic.
- v. A child with denture refractive errors, hearing, defect or any other deformities should provide a medical report of their status to us.
Note:
- > The school clinic is opened to students throughout the session.
- > Students must comply with the visiting time as directed by the Clinic staff.
- > Students are allowed into the clinic during academic hours only with a pass (written permission from the Quality Assurance Office).
- > The clinic is not a social centre; hence only students who are ill should visit the clinic.
- > If there are any confidential medical issues, please see our School Nurse in the clinic.
Respect for Persons and Property
Students have the right to physical safety and to the protection of their personal property while attending school.
- i. Students will show respect for the authority of teachers, administrators, support staff, and other
staff affiliated with the school. Students will be courteous to adults and one another at all times.
- ii. Students will respect other students and the property of other students by displaying honesty
and integrity while at school and should refrain from possessing items of another student without his/her explicit permission.
- iii. To help with this, parents should not send prized possessions, jewelleries, electronics,
cell phones or other valuable objects to school. If the parent allows the student to bring these to school,
Aviation City International School will not be responsible for any items that are lost, stolen or damaged.
- iv. Any student caught defacing, destroying, damaging school property, or the property of another
student will be held accountable for the damages done.
- v. Students may not bring music or literature that may contain material of an offensive nature.
Parents visit to school
- i. No students will be allowed access to his/her visiting parents/guardian without permission.
- ii. We encourage parents to come to school on parent/teacher conference, open days and visiting days.
- iii. Parents will be allowed to access students on request for medical reasons.
Library Rules
At Aviation City International School, we encourage good reading habit, and as such, the school library will be
updated with relevant materials that will facilitate learning from time to time. For the students to maximize
this opportunity, they must comply with the school library rules and regulations at all time.
Clubs and Society
Clubs may be organized to meet the educational objectives of our school and provide benefits to the students.
Only clubs approved by the administration may exist on campus at Aviation City International School. Participation
in school clubs is strictly based on interest, and the school reserves the right to discipline students involved in
club activities for inappropriate behaviours.
Counselling Services
Extensive individual and group guidance counselling services are available for students at Aviation City International School.
The counsellor is assigned a particular group of students. Students should sign up for a counsellor conference in the counselling office.
Students will be seen in the order that they signed up. For more information, please contact the School Counsellor.
Support/Enrichment Programmes
At Aviation City International School, we ensure that all learning abilities are catered for, including the provision of
small-group teaching and out-of-class support for students finding difficulties with any of the subjects leading to their
chosen career paths. A small number of students each year are provided with Individual Educational Plan (IEP). These students meet
periodically with senior academic staff, to discuss and devise strategies to help such students to achieve at the highest level possible
in their subjects.
Dress Code
To maintain a positive learning environment, all students are encouraged to dress appropriately – meaning clean, modest,
and non-disruptive attire. Acceptable dress for students is as follows:

Excursion/Trips
Field trips that take place during the school day are considered to be part of the regular school program and
it is assumed that parents approve of their students participating in those activities unless the parents notify
the school otherwise. Field trips that extend outside of the school day will require signed parent approval for the
child to participate. Approval forms will be provided by the school administrator.
Students’ Government
We encourage students’ leadership and taking responsibilities; therefore, the students will have representative council comprising
of the School Prefects and Parliamentarians. The criteria for these will be by election.
ACADEMIC POLICY
The overall aim of this academic policy is to drive the school standardization agenda. Since the bedrock of every school is its
academic strength, there is obvious need to design policies that will enhance effective academic system.
Admission Policy
- i. All prospective students shall be subjected to entrance examinations before being admitted.
- ii. The parents are advised accordingly on the outcome of the entrance examinations.
- iii. Students or pupils with deficiency in either English or Mathematics will be enrolled for school support programme.
Weekly Test Policy
- i. There shall be weekly test conducted by all teachers in all classes.
- ii. Parents are expected to access the performance of their wards weekly test bio-weekly.
- iii. Children scoring below 50% in the first two results will be placed on academic intervention.
- iv. The parents in that case will be invited for a discussion on the same subject.
Examination Class Policy
- i. All exam classes (Years 5, Year 9 and Year 12) will begin their weekend classes from September of every academic session.
- ii. The basic subject combinations shall be Mathematics and English for term one.
- iii. The subjects increase to major subjects in term 2.
- iv. Years 12 students start JAMB CBT practice from September of every academic session.
- v. From term 2, the exam class students cease to embark on the school holidays like every other students, rather, they stay for extension.
Promotion Policy
- i. Students promoting to the next class must have a minimum percentage score of 50% in their Mathematics and English.
- ii. For senior secondary students, they must score at least 50% in their core subjects, including Physics, Chemistry, Literature Government, Account and Commerce.
- iii. Students who default in any of this shall be made to re-sit the paper(s).
- iv. Prior to this, a revision shall be conducted by the teachers concerned before re-sitting for the exam.
Class work and Assignment
- 1 Staff should give moderate assignment for the students.
- 2 A time table for assignment should be designed for use at the primary section.
- 3 It’s an offence for the teachers to give classwork that won’t be marked.
- 4 Students must have their corrections done on every assignment.
- 5 Kindly report learners who hardly do their assignment to the management for prompt follow up with the parents.
Assessment At Aviation City Intervationbal School
Purpose
At Aviation City International School, the purpose of assessment is to improve learning, inform teaching,
help students achieve the higest standards they can and provide meaningful reports on students’ achievement.
Assessment is the crucial link between learning outcomes, content, teaching and learning activities. Assessment
is used by learners and their teachers to decide where the learners are at in their learning, where they need to
go, and how best to get to their destination.
Principles
At Aviation City International School, Assessment is:
- > Regarded as a key professional skill for teachers
- > Part of effective planning of teaching and learning.
- > Used to promote commitment to learning outcomes and a shared understanding of the criteria by which they are assessed.
- > Recognised as central to classroom practice.
- > Used to provide constructive guidance about how to improve.
- > Used to develop learners’ capacity for self-assessment so that they can become reflective and self-managing.
- > To take into account the importance of learner motivation.
- > To be sensitive and constructive because any assessment has an emotional impact used to recognise the full range of achievement of all learners.

At Aviation City International School, we aim for all students to achieve a minimum of credit in their external examinations and

School Activities and Events
In order to provide a balanced life for students during their stay at Aviation City International School,
we employ the holistic approach by making sure there are a variety of activities to complement the academics.
The activities are fashioned with the aim of promoting team work, self-reliance, creativity, communal living and
unity in diversity among the students. Students take responsibility for most of the events from the planning to execution stage.

School Activities and Events
The importance of a high quality education in an individual’s success cannot be overstated. The world
is changing rapidly and students must be prepared to live and work productively in a new economy with new
technology, new competition, and new expectations. We must ensure that every student, regardless of culture,
ethnicity, language or economic status, has both equal access to high quality education evidence through results
of growth and accountability ratings. That promise is based on the beliefs that:
- 1 The overall students’ achievement level must be improved so
that after each school year, every student makes, at a minimum, one year of instructional progress.
- 2 Recruitment and retention of highly effective teachers are the keys to enhancing
the quality of education anincreasing student achievement.
- 3 The level of meaningful parental engagement must be increased.

School Activities and Events
Please clock or sign the time sheets in the reception office on or before 7:30am and also in the afternoon when you leave by 3:30PM. If you have any reason to leave the school before the end of the work day, you are required to obtain an exeat form that must be duly sign by the Head of School through the Vice Principal
or Quality Assurance Manager. Make sure that your signing in and out is legible and that you do not sign in and out for another employee.
These are audible documents. If you are going to be late for a genuine reason, please put a call to the School Administrators through your
Line Managers.
Students Discipline
Each teacher has the responsibility to be a disciplinarian inside and out of the classroom. Each teacher should
enforce all rules and regulations. Teachers must be in their duty posts and actively support students at all time.
Teachers should NEVER leave their classroom unattended.
Moving of Student Groups
Classes holding outside the classroom should always be accompanied by a teacher. Please be aware of noise in the process
so that other classes may continue uninterrupted. Students must have a pass to go to the restroom or another location.
Eating in the classroom
Students are NOT allowed to eat food or drink in the classroom during lessons (Except for any health reasons).
Corporal Punishment
No staff employed at Aviation City International School shall inflict or be a cause of bodily pain or suffering to another person.
We believe that the use of violence against another person is an unacceptable behaviour. Our teacher must not strike a student.
Request for photocopies and printing
Teachers may require printed or copied works to aid their teaching and learning process. When printing or copying documents beyond five
(5) copies, duly take approval from the Head of Academic Officer.
Staff Identification
All employees of Aviation City International School are required to wear their ID cards within the school premises and
outside the premises whenever they are on any official assignment.
Keys
All official keys are to be dropped with the security unit after the closing hour of the day.
School Clinic
Aviation City International School has a full time Nurse on duty. She provides first aid, health screening, and health
counselling. Staff with health concerns will want to make our nurse aware of these concerns. Teachers may refer students
to the Nurse with the nurse referral form through the Academic Office. Please complete all the information and check the
validity of the student’s complaint as much as possible. Please check with the Nurse subsequently to make sure that the students visited the office.
Teachers are not to give any medication to the students at any time. Students who need to take medication must leave it with the Nurse and give her a statement from the
Doctor listing the medication and the time it should be administered.
Receiving Visitors
All visitors to the campus must report to the Reception Office and be given a visitor’s badge. Visitors must sign and
report the purpose of their visit. Only parents or guardians may remove students from class or school with the full awareness of the management staff.
Field Trip Request
Information concerning any field trip can be got from the Principal.
Staff Dress Code
Employees are expected to maintain a modest, decent, inoffensive, neat and clean appearance as determined by the
culture and requirements of the school. Where necessary, protective or professional clothing and equipment may be provided by the
school in compliance with statutory provisions to the Caregivers, Environmental Officers, Gardeners and Security Officers.
Supervising Officer shall be held responsible for indecent dressing of their subordinates, including NYSC members and Industrial
Attachés under their authority.
Failure to dress in an appropriate manner will attract disciplinary measures against the offender and the supervising Officer.
- 1 All Female employees are expected to dress decently. No clothing must not be transparent and after dress should not reveal fitted inner clothing.
- 2 All male employees should be dressed in shirt, tie, trousers and well-polished covered shoes. A suit may be worn as weather permits.
- 3 Foot wear should not be too old or worn out.
All employees should ensure general outlook is neat and corporate. Flamboyant and traditional cloths are not encouraged unless on Fridays and special occasions.
Wearing of flat slippers is also not allowed except on medical advice. Most acceptable foot wears are covered shoes and heeled slippers.
Recommending Textbooks
At Aviation City International School, we value and respect the teachers’ opinions, hence the Vice Principal and the
Quality Assurance Manager will always welcome suggestions from teachers recommending textbooks for students and staff.
Students Accidents and Injuries
Whenever a student is injured, it should be reported immediately to the school clinic. The Management should be briefed instantly.
Vehicle Request
All vehicle requests by staff for personal or official use must be submitted to the Directors through the Principal and
Facility Manager at least one week in advance before the due date.
Staff Continuous Professional Development
At Aviation City International School, we believe you cannot give what you don’t have; hence teachers will be supported to embark on both national and international trainings to further strengthen their skills and experience. Aside, the staff are largely encouraged to belong to their
respective professional associations. Contact the Principal if you have any further enquiries regarding professional development.
Budget Requisition Request
Staff of Aviation City International School will be privileged to make a budget proposal that will guide the running of the school activities throughout the session.
This is expected to be done departmentally and to be submitted to the principal before the end of every term.
Staff Discipline
On matter relating to Staff Discipline, please kindly refer to the students disciplinary handbook in the admission booklet.
Parent-Teacher Relationship
Aviation City International School is an International School that operates in line with best practices. The school understands that good
two-way communication between parents and teachers is necessary for the students' success. For that reason, courteous, responsive customer
service is a high priority; and professional behavior, conduct, and professional
appearance are expected from the teachers to the parents at all time. For no reason must a staff advent into amorous relationship with the parents.
